Using File Versioning

Overview

Ondexx has support for File Versioning, allowing you to replace an existing file with an updated version. This process is independent of Page Versions and the Page Lifecycle.

When a file in Ondexx is replaced, that newest version will be used across your Site. However, all previous versions of the file will be archived, and available for download in the File Details page.

For example, say an image of your company’s logo is used throughout your Site, but your company goes through a rebranding. You can simply replace the old logo image with the new one, and the new logo will automatically be used across your Site. If you ever needed the old logo, you would be able to access it at your leisure.

Files can be versioned in either the File Manager, or the File Details page of the file to be replaced. With the File Manager, uploading a new file to a folder where a file with both the same name and extension already exists, it will create a new version.

The File Details page works slightly differently, as the file to be replaced is already specified. This allows the new version to have different filename and filetype, if desired. For example, you while the previous version of a file may be a PDF, the newest version could be a Word document.

How to Version a File

Using the File Manager

Replacing a file with the File Manager will instead create a new version of it, archiving the version that was replaced. This only happens if the new file that is uploaded to the same folder as the already existing version, and has an identical filename and extension.

Files can be versioned in this way regardless of how the File Manager is accessed – whether directly, or through a tool in the Page Editor.

  1. Navigate to the File Manager in your Site. This can be done with the File Storage button at the top right.
  2. Navigate to the folder containing the file you wish to replace.
  3. Upload the new version of that file to the folder. The new version must have the same name and file type as the file to be replaced.
  4. The file has been updated to use the version you just uploaded.

Using the File Details page

The File Details page allows you to directly version a file. This allows the new version to have different filename and filetype, if desired. For example, you while the previous version of a file may be a PDF, the newest version could be a Word document.

To navigate to the File Details page for a file…

  1. Open the File Manager in your Site. This can be done with the File Storage button at the top right.
  2. Navigate to the folder where the file you wish to view the details of is stored.
  3. Open the File Details page for that file with Right Click > File Details.

Once on the File Details page, you can upload a new version the File:

  1. Click New Version.
  2. Click Choose File, and select the new version of the file from your computer. This does not need to match the original’s file name or file type.
  3. Click SAVE to upload the file, and make it the newest version of the chosen file.

Accessing Past File Versions

Every version of a file is archived, and available to view and download at any time. They can be found in the File Details page, under File Version History.

To navigate to the File Details page for a file…

  1. Open the File Manager in your Site. This can be done with the File Storage button at the top right.
  2. Navigate to the folder where the file you wish to view the details of is stored.
  3. Open the File Details page for that file with Right Click > File Details.

Under File Version History, you’ll find a list of all past versions of the file. Simply click the version you would like to access.

If the file is a filetype supported by the Document Viewer, you can click View Document to open the file in Ondexx. Otherwise, simply click the file name once again to download it.
