Using Page Version Classification

Overview

The Page Version Classification optional workflow allows page versions to be classified with a Version Type when a new version is submitted for approval. This allows the type of content, reasons for updates, or otherwise to be logged in a standardized manner for administrative and compliance purposes.

Version Type is tracked in the Page Activity Log for future reference, as well as the following reports:

  • Page Life Cycle Approval Activity Report
  • Page Life Cycle Release Manager Activity Report
  • Page Life Cycle Sign-off

Setting up Page Version Classification

Page Version Classification needs to be enabled in a Site before it can be used. This is done in the Site Settings, found in Administration > Site Management > Site Settings under the Workflows heading.

  1. Set Page Version Classification to “Enabled”
  2. Enter your desired Classification Categories. These will be the different Version Types for editors to choose from when they submit their drafts for approval.
  3. Choose if you would like the Version Type field to be required (i.e. if the Version Type field can be left blank)
  4. Save your changes with the SAVE button at the bottom right side of the page. Pages in the site will now be subject to the workflow.

Using the workflow

The Page Version Classification workflow is an addition to the Page Lifecycle, adding an additional step when submitting a page for approval: selecting a Version Type.

When submitting a draft for approval, simply select the appropriate Version Type for the new version of the page. If the field is marked as “Optional,” no value is needed.

Note

Your company likely has internal procedures for when to use each Version Type. You may want to consult your Site Owner or Administrator if you are unsure which Version Type to use when submitting a page for approval.

Reviewing Version-Types

Page Version Classifications for a single page can be reviewed in the Page Activity Log, accessed with the Reports > Page Activity Log Page Action.

Page Version Classifications are also listed in the reports below, allowing a Site Owner to audit recent page approval activity in their site:

  • Page Life Cycle Approval Activity Report
  • Page Life Cycle Release Manager Activity Report
  • Page Life Cycle Sign-Off Activity Report
