Overview

Rights determine what a user can do within an Ondexx site. These rights can be assigned to Roles, Groups, and individual users to provide and control the access of all users in a Site. Refer to this help article for a general overview of Ondexx Rights.

Each right enables certain menus and options. Below is a detailed description of what aspect of a site each right controls. By default, the mandatory Site Owner role will have all of these rights enabled.

Right Descriptions

  • Add Pages
    • Enables the Add New, Administration, and Workflow menus
    • Grants the ability to add new Modules, Chapters, and Pages
    • Grants access to the Draft Console workflow menu
    • Grants access to the Edit Module and Edit Chapter menus
    • Grants the ability to edit Pages in the Page Editor — but not approve and publish them.
  • Approve Pages
    • Grants access to the Approval Queue and Release Manager
    • Grants the ability to approve or decline pages submitted to the queue
    • Grants access to view and comment in the Page Activity Log
    • Allows the use of the Bulk Changes Console
  • Assign Rights [Elevated]
    • Grants elevated privileges to manage and apply Ondexx Rights for users, groups, and roles.
  • Assign Viewing Permissions
    • Grants elevated privileges to manage and apply both Page and Component Viewing Permissions for users, groups, and roles.
  • Certification Coordinator
    • Grants access to the Certification Queue.
    • Grants the ability to modify the Certification Workflow (enabled/disabled), Owner, Coordinator, and Frequency fields for pages currently in the workflow.
    • Grants the ability to manually decertify a page in the workflow
    • Inherits all abilities of the “Edit Pages” right.
  • Certification Owner
    • Grants access to the Certification Queue.
    • Grants the ability to modify the Certification Workflow (enabled/disabled), Owner, Coordinator, and Frequency fields for pages currently in the workflow.
    • Grants the ability to manually decertify a page in the workflow
    • Inherits all abilities of the “Edit Pages” right.
  • Configure Site [Elevated]
    • Grants elevated privileges to configure the site settings, including setting optional workflows, the site security model, and other default behaviours.
  • Display Global Notes
    • Grants access to view global page annotations.
    • Edit Global Notes
      • (includes Display Global Notes right) Grants the ability to edit global page annotations.
  • Edit Homepage Content
    • Grants the ability to edit Home Page content of the site.
  • Edit Pages
    • Grants the ability to edit pages and submit them for approval
    • Grants the ability to access and manage components, popovers, labels, and templates.
    • Grants access to view and comment in the Page Activity Log
    • Allows the viewing of the Bulk Changes Console, however, no changes can be made using it.
    • Delete Other User’s Drafts
      • (includes Edit Pages right) Grants elevated privileges which enables them to delete a draft that was created by any other user.
    • Unlock Locked Drafts
      • (includes Edit Pages right) Grants the ability to unlock a draft that has been locked by any other person.
  • Export Site as PDF [Elevated]
    • Grants the ability to export the entire site as a PDF.
  • Manage Extensions [Elevated]
    • Grants the ability to manage the settings for Ondexx Extensions.
  • Manage Users [Elevated]
    • Grants elevated privileges to add or remove users from the site.
    • Grants the ability to edit the user profiles of all site users.
      • Includes First and Last Name, Username, Business Contact Info, and all Notification Preferences
      • Can trigger a password reset for the user
      • Does not allow fields used for Single Sign-on when applicable (e.g. Email, SAML Name ID, Employee ID) to be modified
      • Does not allow instance-wide rights and settings to be modified
  • Remove Pages
    • Grants the ability to request the removal of a published page.
  • Restore Expired Pages
    • Grants the ability to restore an expired page version as a new draft.
  • Save Draft as PDF
    • Enables users with the “Edit Pages” right to download a draft page as a PDF document.
  • Save Draft as Word
    • Enables users with the “Edit Pages” right to download a draft page as a Microsoft Word document.
  • Save Page as PDF
    • Grants the ability to download a page as a PDF document.
  • Save Page as Word
    • Grants the ability to download a page as a Microsoft Word document.
  • Send Email
    • Grants the ability to send an Email Communication with the Email Messaging menu.
  • Usergroup Annotation Author
    • Grants ability to edit Group-based page annotations.
  • View Audit of all Drafts
    • Grants access to the Content Revision History report.
  • View Audit of Retired Pages
    • Grants access to the the ability to see a listing of all previously retired pages, and to view said pages.
  • .View File Manager [Elevated]
    • Grants the ability to view and download files in the File Management System
    • Add Files
      • Grants the ability to upload and version files in the File Manager.
      • Grants the ability to create new folders in the File Manager.
    • Delete Files
      • Grants the ability to delete files and folders from the File Manager.
    • Move or Rename Files
      • Grants the ability to move or rename files and folders in the File Manager.
  • View Forum
    • Grants access to the site’s forum, if enabled in the Site Settings.
    • Add Forum Categories
      • (Includes View Forum right) Grants the ability to add Forum Categories.
      • Manage Forum Categories
        • Grants the ability to manage Forum Categories. (Includes View Forum and Add Forum Categories rights)
    • Add Forum Comments
      • Grants the ability to add Forum Comments. (Includes View Forum right)
    • Add Forum Topics
      • Grants the ability to add Forum Topics. (Includes View Forum right)
      • Manage Forum Topics
        • Grants the ability to manage Forum Topics. (Includes View Forum and Add Forum Categories rights)
    • Forum Administrator
      • Grants access to the Manage Forum menu. (Includes View Forum right)
  • View Page Activity
    • Grants access to review the Page Activity Log, without allowing the user to comment.
  • View Page Attachments
    • Related to the optional Page Attachments workflow
    • Allows a user to view the “Attachments” built-in component, and view supported attached files in a Document Viewer or Image Lightbox.
    • Download Page Attachments
      • Allows a user to download attached files from the “Attachments” component. They also inherit the View Page Attachments right.
    • Manage Page Attachments
      • Allows a user to upload, version, and remove attachments using the “Attachments” component. They also inherit the View Page Attachments right.
  • View Page Versions (previously View Page History)
    • Grants the ability to access past page versions.
  • View Reports
    • Grants the ability to view all reports, and download reports as an Excel spreadsheet.

Instance-level Rights

Ondexx has several instance-level rights, that provide elevated privileges throughout an Ondexx instance, outside of sites. These rights are assigned directly to a user’s account.

Super Admins gain unrestricted access to an Ondexx instance, including the ability to manage settings for the instance, and edit user profiles without restriction. Please refer to this help article for information on the Super Administrator instance-level right.
