How to search in Ondexx (6.0)

Overview

Finding what you need in Ondexx is now faster and more intuitive than ever. We’re excited to introduce Next Generation Search (NGS) in Ondexx 6.0.

We’ve redesigned our search from the ground up, using powerful AI to deliver more relevant results with less effort. This guide will walk you through new search features so you can start finding your content instantly.

Some key search enhancements include:

  • Expanded Search Filters & Refinements: Filtering and refinements are now visible, quickly accessible, and more comprehensive than ever.
  • Increased Speed & Efficiency: Spend less time searching and more time doing.

Next Generation Search (NGS)

The Next Generation Search Bar/Button is shown at the top of all Ondexx pages.

Upon opening the Next Generation Search window, you’ll see a few categories of quick links to significant pages across the site for rapid navigation. Here you’ll see:

  1. Recently Viewed Pages: Top 10 most recently viewed pages based on your personal activity.
  2. Your Most Visited Pages: Top 10 most visited pages based on your personal activity.
  3. Popular in Your Group: Top 10 pages among members of your group/s.
  4. Popular Across the Site: Top 10 pages among all users across the site.

While these quick links can be helpful, Ondexx Search is without a doubt the most powerful tool to find exactly what you’re looking for.

Search Result Types

While typing in your search query, you’ll see a dropdown with up to 10 results, featuring a mix of Suggested results and Search results. Pressing Enter will execute a search showing all results relevant to your query again separated into two types of results, Suggested results and Search results.

  1. Suggested results: Results based on the meaning and intent behind your query, rather than just matching keywords
  2. Search results: Results from matching the exact keywords and characters from your query to the content.

Up to 5 relevant Suggested results are shown for each executed search.

Search Filters and Search Refinements

While Ondexx Search will always present you with the most relevant results, faceted filtering empowers users to tailor results to your specific needs, workflows, and preferences—ensuring faster access to the most relevant information.

You can easily Filter our results to filter your results by specifying where to search, such as in the titles, descriptions, keywords, content, or attachments.

For example, selecting the “Keywords” filter for your search will only return pages that have your search terms listed as keywords.

You can also Refine your results for specific labels, modules, chapters, page types, and file types.

For example, selecting the “Medical Module” limits our search to only show results that live inside of the Medical module.

Best Practices

To maximize your use of search, it is helpful to understand how our Ondexx Search identifies and prioritizes results based on your query. Leveraging this information, you can use effective and specific queries to find the information you need.

  • Start of Words Search: Search results will match terms that begin with the characters you type.
  • Precision Matching: Our search algorithm prioritizes results that begin with your search terms, ensuring a high degree of relevance
  • Term Proximity: The closeness of your search terms within the content is considered, enhancing the accuracy of your search.
  • Multiple Terms: Using several related terms and adding more descriptive words will give you more accurate results in your search and can significantly improve result relevance.
  • Search as You Think: Search the way you think. NGS uses a hybrid search that blends keyword precision with an understanding of your intent, delivering more comprehensive results.

The Guided Search page shows all results for a query, and can be accessed by clicking the dropdown arrow located just right of the search bar/button and selecting Guided Search from the dropdown menu.

Guided Search is used by entering a query at the top of the page, and pressing Enter or the “Search” button. Your results will appear below.

Adjusting Guided Search Scope

The Scope of your search determines where the Search Engine will look for your results:

  • Title includes Page Titles in shown search results.
  • Keyword includes Page Keywords in shown search results.
  • Description includes Page Descriptions in shown search results.
  • Attachments includes the file names of any Page Attachments in shown search results, if the Page Attachments workflow is enabled.
  • Full-Text includes full text of Pages, Component Titles, and Module, Chapter, and Home Page listing content in shown search results.

Search Scope can be adjusted in the Scope of Search box on the left side of the page. Simply check any area you would like included in the search.

Filtering Searches with the Guided Search Page

Using Filters, you can further narrow your search results to find what you need. Filters include a variety of Page Properties and Attributes. Properties are internal to Ondexx, such as ModuleChapterTitleDate Published, etc

Filters are contained in collapsable boxes on the left of the page. Clicking on the box will show the filter within.

Search by Label

The Search by Label page can be used to easily view all pages with certain labels. This can be accessed by clicking the dropdown arrow located just right of the search bar/button and selecting Label Search from the dropdown menu.

To use the Label Search bar…

  1. Select your Filter Behavior (any selected labels or every selected label)
  2. Select the Labels you wish to view on the right or from the search bar dropdown.
  3. Add or remove labels as desired from the search bar.
  4. Pages with the selected label(s) will be shown below.
