Filtering Search Queries

General Overview

The Ondexx search engine utilizes Filters, which limit your search results in real-time.

Filters include a variety of page properties and attributes. Properties are internal to Ondexx, such as ModuleChapterTitleDate Published, etc.

Users with elevated rights (such as Editors, Approvers, and Administrators) may see more properties and attributes than End Users.

Using Search Bar Filters

Search Bar filters can be accessed by clicking the Filters button on the left side of the Search Bar, and selected from the dropdown that appears.

After adding the filter, click on it to set additional criteria for your search results. For example, adding the “Module” filter will only show results from the chosen module.

Date-based filters require a Date Range. These can be selected from a number of presets, or entered manually by clicking the first and last date of your desired range on the calendar.

Note
An empty filter with no selections will not be applied to your search, i.e. if you add the “Module” filter, but do not specify any modules, the filter will not be applied.

Using Guided Search Page Filters

Guided Search Filters can be found along the left side of the Guided Search page in collapsable boxes. These can be opened and closed by clicking on them.

There are three types of filters available:

  • Dropdown Filters – Click the dropdown menu and select the options you want to appear in your search results.
  • Checkbox Filters – Select the options you want to appear in your search results.
  • Date Filters – Enter your date range by entering the start date on top and the end state on bottom. You can also use the calculator icon to pick your dates from a calendar.

Filter Descriptions

Note: Not all filters are available to all users. Filters only available to those with specific permissions are marked with an asterisk (*)

Property-based Filters:

  • Module
    • Include only pages from within the selected modules.
  • Chapter
    • Include only pages from within the selected chapters.
  • Component Type (formerly “Page Type”)
    • Include only pages that contain the selected types component:
      • Content – Pages that contain inline content page components.
      • Document – Pages that contain the Document Viewer built-in page component.
      • eLearning Courses – Pages that contain the Embedded E-Learning Course built-in page component.
      • Attachments – Pages that contain the Attachments built-in page component.
  • Label
    • Include only pages with the selected labels.
  • Created By*
    • Include only pages created by the selected user.
  • Submitted By*
    • Include only pages submitted for approval by the selected user.
  • Approved By*
    • Include only pages approved by the selected user.
  • Date Published
    • Include only pages published within the specified date range.

Certification Workflow-based Filters:

These filters are only available in sites with the Page Certification workflow enabled.

  • Certification Status
    • Include only pages with the selected certification status.
  • Owner*
    • Include only pages with the selected user designated as it’s owner.
  • Coordinator*
    • Include only pages with the selected user designated as it’s coordinator.
  • Frequency*
    • Include only pages that are recertified after the selected amount of time.
  • Workflow Status*
    • Include only pages with the selected certification status.
  • Expiration Date*
    • Include only pages due to be recertified within the specified date range.
  • Last Certified By*
    • Include only pages last certified by the selected user.
  • Last Certification Date*
    • Include only pages last certified within the specified date range.

Attribute-based filters

These are search filters for custom attributes within sites. The title of these filters as well as the options available will depend on the attributes themselves

  • Checkbox Attributes
    • Include only pages with this Attribute in the selected state.
  • DateInput Attributes
    • Include only pages with this Attribute in the specified date range.
  • DateTime Attributes
    • Include only pages with this Attribute in the specified date range.
  • DropdownList Attributes
    • Include only pages with the selected option in this Attribute.
  • MultipleChoice Attributes
    • Include only pages with the selected option(s) in this Attribute.
  • NumericInput Attributes
    • Include only pages with the selected input in this Attribute.
  • TextInput Attributes
    • Include only pages with the selected input in this Attribute.
