The Bulk Changes Console allows bulk changes to be made to various parts of the Pages in your Site. The Console displays all pages in your site in a datagrid, with columns for Page metadata. This allows you to filter on various fields to create a selection of pages, and make bulk changes to these pages.

Changes made with the Bulk Changes Console exist outside of the Page Lifecycle, and can make immediate changes to your published content. Because of that, these changes are immediate and irreversible.

The Bulk Changes Console can be found in Administration > Content Management > Bulk Changes Console.

While the Console is available to view by users with the Edit Pages right, only users the Approve Pages right are able to make changes using the Console.

The Bulk Changes Console can be used to make changes to the following:

  • Chapter Location (Change Module)
  • Page Location (Change Module / Chapter)
  • Page Certification Workflow Changes
    • Enable / Disable Workflow
    • Certify Pages
    • Decertify Pages
    • Edit Certification Properties
      • Certification Status
      • Certification Owner
      • Certification Coordinator
      • Recertification Frequency
      • Expiry Date
  • Attribute Values
  • Labels (Add / Remove)
  • Keywords (Add / Remove)
  • Signers (Add / Remove)

Changes made with the Bulk Changes Console circumvent the Page Lifecycle Workflow – they will be made immediately to the page’s selected Workflow status. These changes will be logged with comments in the Page Activity log.

Warning!

The Bulk Changes Console operates outside of the regular Ondexx Page Lifecycle, applying your changes directly to selected Pages – regardless of their state. These changes are not versioned; changes are instantaneously applied and cannot be undone.

Creating a Selection

The Bulk Changes Console displays a list of all pages in your site. You can select pages with the checkboxes on the left hand side.

Above the datagrid, you can see how many pages you have selected out of the total in your Site. You can click Show Selected to see your currently selected pages, or click Clear Selection to unselect all.

To help select specific pages, you can filter the Console on any of the many fields. For more information on using the column filters, visit this help article.

Ensure you have only selected pages to which you would like to make changes.

Selecting the Scope of your Actions

For parts of pages that are controlled by the Page Lifecycle, you will have the option to select the Lifecycle Scope of your pages. You can select multiple scope options in a single operation.

  • Published will immediately apply change to the published version of the page.
  • Draft will apply the change to the draft version of the page, should it have one. This does not include submitted drafts.
  • Submitted for Approval will apply the change to the draft of a page submitted for approval.
  • Submitted for Removal will apply the change to a page that is currently submitted for removal.

Move Chapters

The Move Chapters action allows you to move chapters to a different module. Unlike other actions, this is independent of your selection.

  1. Select the Module of the Chapter(s) you would like to move.
  2. Select the Chapters you would like to move.
  3. Select the destination Module for your selected chapters.
  4. Click Submit to complete the operation

Move Pages

The Move Pages action allows you to move a selection of pages to a new Module and Chapter.

  1. Select the pages you would like to move in the Console.
  2. Click the Move Pages action.
  3. Select the destination Module and Chapter for your selected pages.
  4. Select the scope of the action.
  5. Click Submit to apply the action to your selected pages, for your selected scope.

Certification

The Certification action allows you to make changes to the Certification properties. These options are only available when the Certification Workflow is enabled in a Site. Refer to this help article for more information on Page Certification.

Simply click the Certification action you would like to perform.

Enable Workflow

Enables the Page Certification Workflow for the selected Pages.

  1. Select the Scope of the action.
  2. Select the Owner, Coordinator, Recertification Frequency, and (if desired) Recertification Date.
  3. Click Submit to enable the Certification Workflow to your selection.

Disable Workflow

Disables the Page Certification Workflow for the selected Pages.

  1. Select the Scope of the action.
  2. Click Submit to disable the Certification workflow to your selection.

Certify

Immediately forcibly certifies the selected pages, if they are in the Certification workflow.

  1. Select the Scope of the action.
  2. Click Submit to forcibly certify the selected pages.

Decertify

Immediately decertifies the selected pages, if they are in the Certification workflow.

  1. Select the Scope of the action.
  2. Click Submit to decertify the selected pages.

Edit Certification Properties

Changes the values of the Certification Properties you specify, if they are in the Certification workflow.

  1. Select the Scope of the action.
  2. Select the fields you would like to modify with the checkbox to the left of the field.
  3. Enter the new values of the selected fields.
  4. Click Submit to immediately change the values you have selected.

Attributes

The Attributes action allows you to change the values of your Site’s custom Attributes in your pages. This action is only available if your Site contains custom Attributes.

  1. Select the Attributes you would like to change the value of. You can also use the Workflow toggle to enable or disable all of the Attributes.
  2. Enter the new values of your selected Attributes. Attributes marked with “*” are required, and cannot have a blank value.
  3. Select the Scope of the action.
  4. Click Submit to immediately change the values you have selected.

Labels

The Labels action allows you to add or remove Labels to/from your pages.

  1. Select the Labels you would like to add/remove from your selected Pages.
  2. Select the Add or Remove action.
  3. Click Submit to immediately add or remove the selected Labels.

Keywords

The Keywords action allows you to add or remove the Keywords in your Pages.

  1. Enter the Keywords you would like to add or remove from your Pages. You can enter multiple keywords at once by including a “~” between each.
  2. Select the Add or Remove action.
  3. Select the Scope of the action.
  4. Click Submit to immediately add or remove the entered Keywords

Sign-off

The Sign-off action allows you to add or remove Signers to your Pages. This option is only available if Content Sign-off is enabled in your Site Settings. This action will will only apply to Drafts.

  1. Select the Users you would like to add as Signers.
  2. Select the Add or Remove action.
  3. Click Submit to immediately add or remove the chosen Signers.
