Using Ondexx Calendar Events

Overview

Ondexx has the ability to create Calendar Events in a Site that can be downloaded and added to a digital calendar.

The Calendar Events Management menu can be found under Administration > Communications > Calendar Events, and can be accessed by users with the Add Pages, Edit Pages, and/or Approve Pages rights.

Once created, Calendar Events can be embedded in pages and email messages as hyperlinks with the Site Links menu. For more information on sending emails from Ondexx, refer to this help article on Sending Emails with Ondexx Email Messaging.

Using the Calendar Events Management menu

Calendar Events can be managed in the Calendar Events Management menu. This can be found Administration > Communications > Calendar Events, and can be accessed by user with the Add Pages, Edit Pages, and/or Approve Pages rights.

The Calendar Events Management menu shows a list of Calendar Events in a Site. Simply click on an Event’s row to edit it in the Calendar Event Details menu.

To create a new Calendar Event, click the + Add New Calendar Event button.

The following aspects of Calendar Events appear the Calendar Events Management data grid:

  • Event ID
    • The unique ID of the calendar event.
  • Status
    • Active – the event has not yet happened.
    • Expired – the End Date of the event has passed, and the event is over.
    • Disabled – the event is not enabled to be downloaded or added to pages.
    • Deleted – the event has been manually deleted, and cannot be be downloaded, or added to pages.
  • Title
    • The name of the event as it will appear in both the downloaded file, and the link inserted into content.
  • Start Date
    • The start date and time of the event as it will appear in the downloaded file.
  • End Date
    • The end date and time of the event as it will appear in the downloaded file.
    • Once the End Date has passed, the Status will change to Expired, and will no longer be available to insert into a page.
  • Version
    • The current version number of the event, incremented each time the event is modified.

By default, only events with the “Active” status will be shown in the data grid. However, there are several Display Options available to change which calendar events appear:

  • Show Disabled Events will show all events that are currently disabled
  • Show Expired Events will show all events that are expired, and therefore have already happened.
  • Show Deleted Events will show all deleted events in the site. This is only available to Super Administrators.

Using the Calendar Events Details Page

The Calendar Event Details page allows a user to view and edit the details of the an event. This page is also used when creating a new Event.

The Calendar Event Details page shows the following details about the event:

  • Created by – the name of the user who created the event.
  • Created on – the date and time that the calendar event was created.
  • Event ID – the unique ID of the calendar event.
  • Version – the current version number of the event.
  • Last Modified by – the name of the user who last modified the event.
  • Last Modified on – the date and time that the calendar event was last modified.
  • Deleted by – the name of the user who deleted the event.
  • Deleted on – the date and time that the calendar event was deleted.

The Calendar Event Details page is also where aspects of the event can be modified and updated. The following aspects of a calendar event can be changed:

  • Event Name
    • The name of the calendar event. Required field.
  • Location
    • The location of the event as it will appear once downloaded.
  • All Day
    • Toggle if the event is all day or not.
  • Start / End
    • The Start and End date and time of the event. Required if the event is Enabled.
  • Timezone
    • The timezone used for the entered start and end time.
  • Description
    • The description of the event as it will appear once downloaded.
  • Enabled
    • Toggle if the event can be added to pages and downloaded. Requires an Event Name, and start and end date and time.

The following actions are available on the page when viewing the Calendar Event Details of an existing event:

  • Update will save the user’s changes, and update the event with a new version.
    • This will not change the event if it has already been downloaded, however, any future downloads of the event will have these changes reflected.
  • Cancel will return to the Calendar Event Management menu without saving.
  • Delete will delete the calendar event.

Creating a New Calendar Event

Calendar Events can be created with the following process:

  1. Navigate to the Calendar Events Management page under Administration > Communications > Calendar Events.
  2. Click the + Add Calendar Event button.
  3. Fill out the Calendar Event Details for the new event. The event must at least have an Event Name. If you would like to enable your event, it must have a Start / End date and time.
  4. When you have finished filling out your event’s information, click SAVE.
  5. The event has been created.

Adding Calendar Events to Pages and Emails

Calendar Events can be added to pages and email messages sent from Ondexx, in the form of download links for a calendar event file. In order to add events, their Start Date and Time must not have passed, and they must be enabled for download.

  1. Navigate to the Content Editor of the page to which you would like to add a calendar event, or open the Email Editor modal for the email to which you would like to add a calendar event.
  2. Click Site Links, and open the Calendar Events dropdown.
  3. Click the Calendar Event of which you would like to add a link in your page or email.
  4. A download link for the chosen event has been added to that page or email’s content.
