Ondexx Workflows

Ondexx Sites are full of workflows to control everything from content creation to user onboarding. Sites can also use optional workflows to add additional processes relevant to the site’s use-case.

This article serves as a master list for all workflows within a site, with links to more detailed articles.

Site Workflows

The workflows below are fundamental parts of Ondexx intrinsic to its use. They may be modified by additional optional workflows, but will always be present in any given site.

Page Lifecycle Workflow

The Page Lifecycle is the workflow used when creating, updating, and publishing pages in Ondexx. When a page is created or updated, Editors make changes to a draft, and Approvers then approve the new version of the page. The page is then published to the site, or scheduled to release at a specific date and time.

User Onboarding Workflow

The User Onboarding Workflow is used to add new users to an Ondexx site and/or instance. This process has multiple levels of verification and approval to ensure that only the correct users are onboarded to a site, and with only the correct rights and permissions.

This workflow can also be integrated with internal access systems outside of Ondexx to use Single Sign-on and auto-provisioning.

Optional Workflows

The workflows below are optional, and must be enabled in a site before use. These settings can be found under Administration > Site Management > Site Settings, under the Workflows heading.

Draft Page Locking

The Draft Page Locking optional workflow is used to control who can edit a given draft by “locking” it. Typically, an Editor will lock the draft that they are currently working on, so it is not mistakenly worked on by another user.

Page Attachments

The Page Attachments Workflow allows files to be uploaded to pages as “attachments.” These files can then be viewed, downloaded, and managed within that Page, without needing to physically manage files and folders in the File Manager.

Page Approval Sign-Off

Page Approval Sign-Off (or Content Sign-Off) allows specific users to be assigned as “signers” for a page draft. When the page is submitted for approval, every signer will need to review and sign-off on the page before it can be approved and published.

Page Certification

The Page Certification workflow applies a review policy, change management, and additional approval process to pages with the workflow enabled. This ensures that pages are periodically reviewed by specific users, and “certified” frequently.

Page Version Classification

The Page Version Classification workflow allows each version of a page to be classified with a “Version Type,” selected from an administrator-created list.

Task Management

The Task Management workflow allows for tasks to be created and assigned to users within Ondexx. Their status can then be tracked by the assigner and the assignee in the Task Management menu.
