Best Practices: Keywords

Keywords, or keyphrases, are a powerful tool that can be used to make your pages easier to find using the search bar.

By default, the Ondexx search bar will search on only page titles and keywords, in that order of relevance. Adding keywords to your page will improve findability, allowing users to find pages using words and phrases not present in the page’s title without needing to change any search settings

This article will detail best practices for using keywords, to ensure that you are getting the most out of this feature.

How to add keywords to pages

Keywords are updated using the Page Editor, and controlled with each page version as a part of the Page Lifecycle.

To add keywords to a page…

  1. Open the page in the Page Editor.
  2. In the Properties tab, enter your keywords/keyphrases for the page under the Keywords heading.
  3. Save, submit, and publish the page.

Creating good keywords

Keywords are best used to enhance the findability of a page by adding phrases that a user looking for the page might search for.

As such, good keywords are phrases that describe the subject matter of the page while avoiding words in the page title (as much as possible).

Acronyms are also best used as keywords, rather than inclusions in page titles. However, acronyms should always be UPPER-CASE to improve searchability.

The Ondexx search engine makes use of machine learning and “fuzzy logic” to match results to queries. This means the following:

  • Keywords should not provide misspellings, e.g. no need to add “Poliy”, only “Policy”
  • Keywords should not provide pluralized alternatives, e.g. no need to add “Ratings”, only “Ratings”
  • Keywords do not need to be conjugated, e.g. “Doesn’t qualify” can just be “Doesnt qualify”

Using keywords for categorization

Keywords can also be used to organize and categorize similar pages, as a form of label. When multiple pages contain the same keyword, it can help to group pages with a common theme together, adding an additional layer of organization that can span across chapters and modules.

For example, a user could search for an acronym such as “CRM” to view all pages related to Client Relations Management, even if the pages themselves lived in separate modules and chapters.

Additionally, clicking a keyword in page will perform a guided search on that keyword, showing a list of all pages that contain that keyword. This can make it easy to quickly view and find pages related to the one currently being viewed.

This works similarly to Ondexx’s built-in label functionality, with the key difference that keywords are searchable terms, rather than filterable terms.
